How to Use AI for Real Estate Transaction Coordination

You enter the closing date in your calendar. Then you type it into your CRM. Then you add it to the transaction file. It’s the same date, and you’re doing the work 3 times.

AI can help with that. It can help read contracts, pull out deadlines, update records, and sort paperwork. Your transaction coordinator (TC) reviews the details and decides what needs attention before the work moves forward.

In our Lab Coat Agents conversation, Jerimiah Taylor, known as JT, showed how this can work with BrokerBot, the platform he leads. The video’s title was “Hire AI and Fire Your TC.” Early in the conversation, though, JT said most agents shouldn’t replace their TC.

What AI transaction coordination means

AI transaction coordination is using AI to help with the paperwork and follow-up tasks between an accepted contract and closing.

In the workflow JT showed, he asked AI to:

• Read the contract and find key dates and people

• Prepare calendar reminders

• Check contacts before adding them to the CRM

• Create a transaction record

• Organize documents in the team’s transaction software

A basic chatbot can help read a file or draft a message. To update other tools, an AI system needs the right connections and your permission. What it can do depends on the product and your account.

5 steps to try with your TC

1 Give AI the complete file

Start with the accepted contract, counteroffers, and addenda. Use only documents your team is allowed to share with the chosen tool.

Ask AI to list the people, dates, amounts, and missing details. For each key item, have it name the source document and page or section. That makes it easier for your TC to check the answer.

2 Review the plan before anything changes

JT asked the system to explain its plan before taking action. This gave him a chance to catch problems first.

During the demo, AI flagged 2 different closing dates in the contract and a counteroffer. It also found blank fields and a missing document mentioned in the file. JT then confirmed which closing date to use.

Build that pause into your process. If the documents don’t agree, stop and have the right person resolve the question. Otherwise, 1 wrong date could end up in several tools.

3 Add the dates and reminders

Once your TC checks the dates, AI can help add them to an approved calendar. In the demo, JT asked for reminders 24 hours before deadlines, including a text the day before.

Choose reminders that fit your team. Check the date, time, and person responsible for each task. A reminder helps someone keep track of the work; it doesn’t finish the task for them.

4 Match the people before updating your CRM

JT’s prompt asked AI to look for the people in the contract across Google Contacts, Gmail, and the connected CRM. If contact details were missing, it was supposed to ask.

Keep that rule. If 2 people have the same name, confirm the right match. Don’t guess an email address or create another record for someone who’s already in your CRM.

5 Open the tools and check the work

JT also asked BrokerBot to prepare documents for SkySlope Forms and Transaction Management. Later, he showed work moving forward across contacts, the CRM, and Google Calendar while we kept talking.

When your tool says it’s done, check the results. Open the calendar, CRM, and transaction file. Make sure the dates match and the documents are in the right place. Ask for links to the updated records and a list of anything left to do.

A simple prompt you can adapt

Try this in a system your brokerage has approved. Change the instructions to fit your team’s tools and process.

Read the contract, counteroffers, and addenda I’ve provided. List the people, key dates, amounts, and missing details. Show the source document and page or section for each key item. Flag anything that conflicts or isn’t clear. Don’t guess.

Give me a plan before changing anything. Wait for me to approve the details and each action. Then use only approved connections to prepare the calendar reminders, CRM updates, and transaction file. Check for existing contacts first, and ask about uncertain matches.

Use the reminder schedule I approve. Draft outgoing messages for review before sending. When you’re done, show what changed, link to the records, and list anything that still needs attention.

3 checks before you upload a contract

Client files need care. Before you try this with a real deal, check these 3 things:

• Data use. Can the provider use your files to train AI? How long does it keep them? Who can see them? Check your account’s terms and settings. A paid plan alone doesn’t answer those questions.

• Permission. Does your brokerage approve the tool and the way you’re connecting it? Do the software and forms providers allow that use?

• Review. Who will check the results, approve changes, and handle problems? Ask your broker or a qualified adviser about any unclear rules.

Your TC still has an important job

JT said his team’s TC used the workflow to organize a contract file in SkySlope and reported saving about 1 hour. That’s JT’s report, so your results may be different.

The TC was still part of the process. Keep a person in charge of checking the file, following up on missing items, and keeping people informed.

Start with 1 small task, like pulling dates from an approved sample contract. Compare the results with the file. Write down what AI missed or got wrong. Add more steps once your team knows how to check them.

Can AI replace a real estate transaction coordinator

AI can help with parts of the job. The approach in this video keeps a TC involved to check details, handle questions, and follow up with people. 1 demo doesn’t show that AI can take over the whole role.

Can AI find deadlines in a real estate contract

It can help pull out dates. Include the counteroffers and addenda, ask where each date came from, and check the answers before using them.

Which tools do you need

JT’s workflow used email, a calendar, a CRM, and transaction and forms software. Check which connections your AI tool supports and which ones your brokerage approves.

Is it safe to upload a client contract

That depends on the provider, your account settings, your permission to share the file, and your brokerage’s rules. Check those before uploading client information.

What should you test first

Ask AI to make a deadline list from an approved sample file. Have your TC check every date against the documents before trying calendar or CRM updates.
